The Association of American Veterinary Medical Colleges is seeking an Administrative Assistant.
Under supervision of the Chief Operating Officer, the Administrative Assistant oversees, coordinates, and performs a wide variety of administrative, secretarial, and program support activities to support the Association’s operations and programs. In addition, the Administrative Assistant interacts with a diverse group of external callers and visitors, as well as internal contacts at all levels of the organization. Independent judgment is required to plan, prioritize, and organize a myriad of duties and responsibilities with minimum supervision.
PRINCIPAL DUTIES AND RESPONSIBILITIES
Performs front-desk duties such as answering telephones, greeting visitors, and receiving/distributing incoming mail
Provides confidential secretarial and administrative support for the principal executive, to include managing the schedule/calendar and making travel arrangements
Provides administrative support for all staff to include preparing expense reports and travel reimbursement requests, making traveling arrangements, and scheduling meetings
Provides general operations and facility oversight (e.g., serves as tenant representative; establishes and maintains vendor relations; oversees maintenance of office equipment; orders supplies)
Coordinates in-house meetings and staff events
Works with program managers to coordinate administrative functions for recurring and special projects
Prepares general correspondence and responses to routine requests for information
Maintains organizational records, documents, and files
Performs other job-related duties as assigned
High school diploma or equivalent is required; Bachelor’s degree is preferred
A minimum of five years of relevant experience is required
Proficiency in MS Office applications (Word, Excel, PowerPoint, Outlook) is required
Excellent written and verbal communication skills is required
