Objective: To cover front desk and receptionist duties, general office administrative duties and document sales support.
Relationships: Report to the Director, Business Operations. Work with Assistant to the President to ensure that phones are covered during normal business hours. Support needs of Program Directors related to committee meeting management.
Front Desk and Administrative Duties:
Serve as front-line for RTCA. This encompasses all duties associated with the front desk/receptionist responsibilities:
In-person contact with visitors and committee members
Answer main office phone and transfer calls to staff as needed
Monitor and process general emails in a timely and professional manner
Maintain list of ‘frequently asked questions’
Provide backup coverage for President’s assistant:
Receive all incoming calls
Screen and direct calls to appropriate staff member
Record complete phone messages
Fulfill general office administrative responsibilities
Maintain staff workroom and both kitchens
Order supplies as needed
Process incoming/outgoing mail
Ensure meeting amenities are available for committee members and refreshed as needed.
Maintain the appearance and cleanliness of the reception area and conference facility. Report any required repairs to appropriate person.
Attend and participate in all required staff meetings.
Process all document orders.
Ensure fulfillment of all hardcopy document orders.
Maintain inventory of all paper documents.
Manage distribution of the RTCA Digest.
Respond to customer inquiries regarding document sales.
Other duties as assigned
Experience answering phones and fielding questions.
Computer/internet experience a must
Prior experience with Salesforce based AMS systems is preferred
Team player, ability and willingness to learn new things
Excellent customer service skills
Effective oral and written communications skills a must
Excellent verbal and written skills
Experience working within a non-profit association a plus
Ability to work effectively and efficiently with minimal supervision against clear priorities and objectives
