In addition, 14 paid holidays are offered each year; 13 scheduled on specific days and a Personal Holiday that may be taken any time during the year. Reporting to and under the general direction of the Deputy Director of Athletics, the Athletics Operations Specialist performs varied administrative, technical and analytical duties and provides day-to-day administrative operations support for the Department of Intercollegiate Athletics. Responsibilities are in the areas of business operations, NCAA compliance monitoring and education programs, facility and game day operations, event planning, and performing detailed and complex administrative responsibilities. Work requires regular participation in the planning, development, and follow through of activities and, as required, independent determination of methods to meet programmatic or administrative goals. Major duties of the position include, but are not limited to, the following in support of the Department of Intercollegiate Athletics, routinely involving independent determination of approaches to projects and priorities, with work being reviewed against overall goals and objectives with full accountability for results: - Perform complex administrative and operational duties with broad impact. - Assess, formulate, and evaluate the impact of recommended or implemented policies from a strategic and operational perspective. - Ensure that administrative and clerical functions are executed safely, efficiently, and in compliance with NCAA, CCAA, WWPA, Pacific West, and Sonoma State University policies and procedures. - Assist in the evaluation and assessment of key objectives and longer term goals and make appropriate recommendations. - Exercise independent determination of approaches to projects and priorities as needed in support of the department. - Use appreciable judgment in the development of policies and procedures related to athletics administration, business, compliance, and event operations issues frequently not covered by existing policies and procedures. - Use appreciable ingenuity and innovation to conceive new approaches and solutions to address complex problems and issues facing the Department of Intercollegiate Athletics. - Serve as the primary contact for various athletics administration, business, compliance, facility, and event management needs. As needed, manage relationships with outside entities or agencies and manage sensitive information and situations. - Work with representatives from public and private entities and handle potentially sensitive situations, including but not limited to financial, academic, health, and regulatory information. - Present information, ideas, and concepts in written or presentation format for the department as needed. Performs other secondary duties as assigned. Duties take place mostly in an office setting located at Sonoma State University. The normal work schedule is Monday through Friday aligned with regular campus hours. As an exempt employee you have some flexibility in your schedule however must be available during the regular campus hours Monday through Friday to meet the operational needs of the campus and department. Your specific start time is determined by your Appropriate Administrator. Evening and weekend hours may be required and will be specified only by the supervisor to meet operational needs. The incumbent must maintain regular and acceptable attendance at such levels as is determined by the Appropriate Administrator. The position may require occasional travel, by automobile and airplane, and the incumbent must be able to work some night and weekend hours with overnight stays. Qualifications This position requires a bachelor's degree from an accredited four-year college or university in a related field and/or equivalent training and administrative work experience involving study, analysis, and/or evaluation leading to the development and improvement of administrative policies, procedures, practices or programs. The incumbent must also possess at least three years' experience in business administration, college athletics, or a related field. Intermediate to advanced proficiency with computers and Microsoft Office Suite (Outlook, Word, Excel) required. Knowledge of ARMS, NCAA online applications, and PeopleSoft preferred. In addition, this position requires the following: Thorough knowledge of and ability to apply extensive expertise to complex programs and/or administrative specialties, including state and federal law, CSU and SSU policies and procedures, and NCAA Division II Bylaws and sport regulations. Demonstrated expertise in and advanced knowledge of the principles, problems, and methods of public and business administration and operational and fiscal management. Examples may include, but are not limited to, cash handling procedures for the university, travel regulations and the process procedures for processing travel claims and travel advance requests, the accounting process for the university to know how and where various expenses and revenues are accounted for. Expertise in administrative operations and systems analysis, statistical and research methods, and the ability to interpret and evaluate results to develop sound conclusions and recommend new or revised policies. Ability to understand problems from a broad, interactive perspective and discern applicable underlying principles to conceive of and develop strategic solutions. Ability to effectively present ideas and concepts in written or presentation format and use consultative and facilitation skills to gain consensus. Provide lead work direction and serve as the prime contact to train others on new skills and procedures related to department programs and projects. Prioritize and perform multiple tasks and analysis of documents requiring a high level of productivity, meet deadlines, work independently with little or no supervision, and exercise sound judgement. The incumbent must demonstrate initiative in performing detailed and complex work, be highly organized, possess strong written and oral communication skills, and have the ability to compile, write and present reports. Must have the ability to effectively communicate with all levels within the university and establish and maintain productive and effective, inclusive working relationships amongst diverse populations including staff, faculty, administration, students, and other internal and external constituents. Must be able to accept constructive feedback and work cooperatively in group situations. Must also possess the ability to operationalize sustainability concepts (economy, society, and environment) into all aspects of performing job duties.
