The Assistant Director of Event Management reports to the Associate Athletic Director for Event Management & Championships, assisting with the day-to-day operations of the event management unit including, but not limited to: developing and training temporary staff, establishing game-day protocols, creating event management manuals, and coordinating and supervising various events within the Athletics venues. This position is instrumental in achieving and carrying out our goal of providing exceptional experiences for every guest.

Responsible for adhering to all Department and University policies and procedures, as well as the rules, regulations, bylaws and interpretations of the Big Ten Conference and the NCAA.
Responsible for recruiting and developing a strong base of temporary event employees to assist with broad-based customer service delivery at Northwestern Athletics events to include: fan services kiosks, on-site shuttle service for fans with special needs, concourse management, etc.
- Recruit, train, evaluate and develop temporary event staff, establishing a culture within the Temp staffing pool that aligns with the culture and values of the Department of Athletics and Recreation.
- Coordinate and schedule appropriate Temp staffing for Northwestern Athletics events; Accurate record-keeping and timely approval of Temp employee timecards.
- Conduct event-by-event evaluations to identify areas of strength and areas of opportunity; Develop and deliver ongoing training sessions for Temp staff based on event evaluation data.
- Develop Staff Recognition Program to cultivate relationships with Temporary staff.
Work with contracted vendors to coordinate and schedule additional temporary event staff to ensure efficient staffing for Northwestern Athletics events.
- Develop and deliver appropriate training for contracted event staff.
- Communicate staffing concerns and needs to the vendor using data collected by event-by-event evaluations that identifies areas of strength and areas of opportunity.
- Develop Staff Recognition Program to cultivate relationships.
Serve as game day administrator for at least 3 or up to 5 intercollegiate athletic sport programs.
- Exercises discretion and judgment in the mitigation of problems and situations that arise during events (i.e. media access, concession operations, parking, and security).
- Supervise security, parking and event personnel.
- Collaborates with coaches and other Athletics personnel to assess event needs and requirements.
- Create brochures and packets for distribution to visiting teams and officials.
- Develop event management manuals and establish game-day protocols to provide staff.
Ongoing evaluation and development of current methods and procedures in order to improve operations, create efficiencies, and develop new and innovative ways to manage events. Staying up-to-date on industry trends for collegiate athletics and event management.
Coordinate and manage non-athletics events taking place in Athletics venues, as well as post-season tournaments for respective sports.
- Negotiate contracts with campus departments, event organizers, caterers, decorators, sound companies etc.
- Supervise event set-up and breakdown.
- Assist with developing post-season tournament bids.
Collaborate with other Event Management and Championships staff to supervise and coordinate special projects with temporary department interns to increase department efficiency.
Purchase equipment, material, supplies and services for use in venue for events. Develop relationships with vendors and recommend suppliers for needed supplies and services.
Other duties as assigned.
Successful completion of a full 4-year course of study in an accredited college or university leading to a bachelor's or higher degree; OR appropriate combination of education and experience.
Minimum 3 years of experience
Proficient in Microsoft Office Suite
Attention to detail
Experience recruiting and managing temporary workforce preferred.
Master’s Degree preferred
Previous experience in athletics administration/event operation preferred
Certified completion of National Incident Management System (NIMS) Preparedness Component modules IS 100 and IS 700 preferred
Demonstrated ability to work under adverse weather conditions preferred
Ability to lift < 50 lbs.
