Clemson University is accepting applications for the position of Special Assistant to the Director of Athletics. This role oversees and directs matters related to administrative & business management for the Director of Athletics & serves as representative of the Athletic Director's priorities as it relates to projects and programs within Athletics. This position supports the mission of Athletics through managing business operations and office staff as well as planning, directing, and coordinating facility projects. This position will work very closely with the Athletic Director and Deputy Director of Athletics (Deputy AD) to ensure optimal function of the Athletics Department. Performs other duties as assigned. JOB DUTIES:
40% - Essential - Program and Project Management: Directs and manages logistics for all projects and programs in the AD's office. Designs and prepares executive presentations for various boards. Defines the project scope and objectives. Designs and implements continuous improvement initiatives for areas of oversight. Defines the metrics by which the project will be evaluated upon completion. Establishes priorities and maintains project deadlines for successful completion. Provides independent analysis and judgment in prioritizing situations needing attention and take steps to ensure projects are moved forward and tracked for progress through completion.
30% - Essential - Operations and Communications Management: Creates and executes effective project communication plan, which involves key stakeholders (athletic administration, coaches, staff, etc). Channels and ensures receipt of incoming documents and communication to appropriate leadership or staff for action. Manages the day to day to operations for the AD's office. Acts as a liaison and central contact for certain University groups while developing necessary communications, organizing meetings, developing agendas, and recording and preparing meeting minutes. Consults as necessary with senior administrators concerning matters of administrative urgency. Provides routine correspondence with all Senior Staff members for seamless communication.
20% - Essential - Executive Assistance for the Dean's Office: Provide executive assistance to the Director of Athletics and ensure efficient and effective office operations. Direct & coordinate all matters related to administrative and business management activities for the Dean's office. Accurately reflects the AD's position in internal meetings. Pro-actively identifies information that has the potential to be impactful and elevates issues along with resolution options to the AD in a timely manner. Scope, plan, and execute quick-turnaround projects with little outside assistance. Establishes and manages the AD's and Deputy AD's calendars, correspondence, scheduling events, meetings, and travel. Filters calls and mail on behalf of the AD and Deputy AD. Preps the AD and Deputy AD for meetings, events, and travel. Secures meeting spaces and attends meetings with the AD and Deputy AD as needed. Assists with Aviation approval process and logistics.
10% - Essential - Research and Analysis: Interprets and assesses project outcomes and identifies potential issues. Researches available institutional data and other academic or appropriate benchmarks. MINIMUM REQUIREMENTS:
Education - Bachelor's Degree
A bachelor's degree and relevant program experience. RESPONSIBILITIES:
