Under minimal supervision, this position is responsible for assisting the Development Department with planning, developing and executing SMSC events. This full time position requires working late evenings and several weekends throughout the year.
DUTIES AND RESPONSIBILITIES:
Duties will include the following and other duties may be assigned.
Responsible for planning, organizing, coordinating events and rentals (Wedding venue)
Create project needs and determines work priorities for each event
Availability to work extended hours during peak event seasons and rentals.
Strong attention to detail, organization, accuracy and the ability to effectively and efficiently handle multiple tasks and meet deadlines with little supervision
Develop event plans including time frames, breakdown of task and volunteer recruitment.
Create and manage event budgets to ensure income and expenses goals are met for each event.
Ability to proactively organize and set priorities, manages production schedules in order to meet deadlines
Consults with the CEO to improve event experience and provide creative alternatives to solve problems
Recommends, manages and maintains positive relationships with supplier products and services
Works closely with a broad range of professionals in the event planning field, hospitality representatives, facilities managers, board members, committee members, staff and volunteers
Works with the CEO, outside consultants and organizations to develop full circle marketing plan and development plan for SMSC
Highlights income generating areas, e.g. Sophie’s Gallery and Garden
Coordinates and manages electronic newsletter
Coordinate all televised media appearances
Manage and update website and social media
Work with programming to get student media releases
Work with CEO to purchase ad buys to highlight organization
Work with PR firm to increase social media presence
Represent organization at outside events
Assist in managing correspondence to donors
Assists with the creation of materials for all promotional projects and cultivation of events, internally and externally
Responsible for all other duties that are assigned by the Executive Director
Bachelor’s Degree in related subject is preferred or a minimum of 2 to 5 years of event planning experience. Six months experience with non-profit or social services. Must be able to persuasively present self and organization in oral and written format. Excellent interpersonal skills both in person and by phone, with high professionalism. XP and fundraising software. Must be able to meet all pre-employment requirements including: pre-employment physical and screenings, valid CA driver’s license, current DMV report. Ability to meet Community Care Licensing including fingerprint requirements.
