The Assistant Director of Development – Special Events reports to the Senior Associate Athletic Director for External Relations. This position coordinates Athletics Department special events, as well as events related to sport specific clubs, and the Bobcat Club Annual Scholarship Fund and assists with all athletic department fundraising activities.
Duties and Responsibilities - Coordinate all Bobcat Club Annual Scholarship Fund events. Determine venue, date and time. Build event itinerary. Communication and Marketing of event details with constituents and attendees. - Work with internal and external vendors to organize setup and teardown. Work with Bobcat Club Chapter Presidents and Volunteer Representatives in assigned areas to effectively lead Bobcat Club fundraising initiatives to increased membership and successful special events. - Manage donor and event attendee benefits or privileges in relation to event sponsorships, program/club donations and the priority points system. - Maintain daily internal operations including gift processing and acknowledgment reports. Provide weekly acknowledgment reports from recent giving to development staff. - Assist in management of the Athletics database (Paciolan) and coordination with MSU Alumni Foundation database (Agilon) which includes, but is not limited to requesting fundraising reports, compiling lists of donors/lapsed donors, processing donations and supporting the team in other database-related measures. Manage the priority point system and ranking. - Collaborate with the annual fund team on solicitation strategies and other engagement opportunities. - Provide support for sport specific giving organizations such as Quarterback Club, 6th Man Club, Fastbreak Club, Side Out, BTFA, etc. - Build quality relationships and work collaboratively with the Bobcat Club staff, Executive Committee, Athletics Department staff, University staff, as well as students, businesses, and various other constituency groups. - Work with MSU Alumni Foundation to provide coaches and administrative staff donation reports, as well as club and chapter financial updates, and provide regular communication to donors including updates and appreciation messages. - Perform duties with professional conduct, confidentiality, fiscal responsibility and a commitment to Athletic Department success. - Game day – management and oversight of hospitality areas including, but not limited to Sky Suites, Cabanas and pre-game receptions. - Compliance with all Department of Intercollegiate Athletics, Montana State University, NCAA and Big Sky rules and regulations.
Bachelor’s degree, or an equivalent of education and work experience.
Demonstrated experience in an administrative, budgetary, marketing, and organizational capacity.
Demonstrated experience in public speaking situations.
Post-graduate degree in relevant field.
Demonstrated experience working in a not-for-profit organization.
A background in athletics (either as a competitor or at the administrative level).
Experience working with and adhering to NCAA rules and regulations.
