Summary: The Alumni and College Relations Data Analyst/Report Writer is a full-time position reporting to the Executive Director of Advancement Services. This position will write reports using SQL in ARGOS for staff in Alumni and College Relations. This position will also work with staff in pulling mailing lists and uploading information into BANNER, as well as establish solicitation codes as needed by staff to use to track success of mailings. This position will use various querying applications to extract data; collect, compile, format, and evaluate data for accuracy; and create statistical reports for use by internal and external constituencies. Responsible for maintaining Reeher.

• Build and manage data systems, associated with Alumni and College Relations, standards, documentation and repeatable processes for system usage. Responsible for maintaining Reeher and providing data to them. • Collect, compile and distribute gift-related data reports, by using custom and self -written ad hoc queries, both internally (Alumni and College Relations staff, Financial office, Trustees, President, and other college leadership) and externally(VSE Survey, Benchmark Institutions etc.) • Prepare statistical reports for publications including the College Fact Book and President's Report. • Write reports/dashboards using ARGOS for staff in Alumni and College Relations and train staff how to use /run the reports. • Work collaboratively and proactively with Alumni and College Relations administrators to frame appropriate questions about the work of their departments; provide reports to assist staff in establishing benchmarks for evaluating effectiveness of programs and activities. • In consultation with the Executive Director of Advancement Services and other key staff, improve, enhance, and automate current reporting procedures-both scheduled and ad hoc. Provide guidance on identifying and storing data to allow for better data extraction to provide donor information to help enhance the Alumni Relations tracking and reporting of alumni engagement, the Major Gifts Program, Berea Fund Program, Gift Planning Program, and Prospect Management Tracking. • Work with VP and members of the Leadership Team to record and track department and staff performance metrics • Work with IS&S staff to complete the Cloud Solution SaaS Acquisition Check List when considering new companies who will be handling donor information. Also, work directly with the company and be the liaison between the company and IS&S, as well as the key staff person working with the company once a contract is completed • Work with IS&S to setup staff access for BOX, BANNER, ARGOS, BANNER Document Management etc., and train end-users • Serve as Office Based Consultant which trains other end users on system updates, trouble shoots errors and other problems and articulates technical issues to Information Systems and Services, as well as serve as a member on the BANNER Steering Committee • Perform gift adjustments as needed • Develop a thorough understanding of gift processing procedures and assist in the gift processing area during peak seasons
Other roles/duties will be assigned as necessary to assist the College in the attainment of the goals set forth and the enhancement of a positive, respectful learning environment for all staff, faculty and students.
Education required to ensure success in this position: • Bachelor’s Degree in Business, Math, Computer Science, or Economics, Master’s preferred
Experience required to ensure success in this position: • 5+ years of experience in querying and managing databases, with a demonstrated aptitude for creating ad hoc queries, collecting and compiling the data for statistics. -
Special skills, knowledge and abilities: • Understanding and appreciation for the Berea College purpose and Great Commitments, including the tremendous impact philanthropy has on the ability of the College to achieve its mission to assist the College in the attainment of the goals set forth and the enhancement of a positive, respectful learning environment for all staff, faculty and students. • Experience with training end users of systems. • Experience, or aptitude to learn and convert old systems to new systems. • Attention to detail. • An in-depth knowledge of Microsoft Office Suite, relational databases, banded reports, and querying tools (Banner, Reeher and ARGOS), preferred. • SQL Programming, SPSS, TOAD, preferred. • Understanding of the data in alumni/development work (challenges, changes, and nuances are critical). • Excellent communication skills and ability to translate end user questions as needs into accurate reports. • Creative and logical thinker. • Proactive and conscientious in the identification of changes in gifting procedures. • Problem solving aptitude and technical independence are required. • An aptitude to offer analysis of data to supplement reports. • Must have ability to work independently and in a team environment. • Must demonstrate initiative as a self-starter. • Math Aptitude. • Strong organizational skills. • Ability to make crucial decisions in the area of tracking and reporting donor gifts. • Ability to work accurately and thoughtfully under pressure when compiling gift related reports. • Ability to communicate, both orally and in writing, in a professional manner.
