•Serve as first point of contact for the John Purdue Club main office.
•Provide high-level administrative support for all John Purdue Club staff.
•Arrange and schedule meetings and appointments as necessary; maintain calendars for John Purdue Club staff.
•Under the supervision of the Director of Development Operations, manage and assist with special projects, such as the football locker campaign, brick campaign, donor signage recognition, and donor pipeline report, by internally tracking donors and donations received.
•Provide general office support, including but not limited to: answering phones, greeting departmental guests, filing, faxing, scanning, and monitoring the general John Purdue Club e-mail account.
•Open, process, and distribute incoming mail and packages. Ship outbound mail and packages.
•Oversee and execute John Purdue Club membership anniversary recognitions monthly.
•Serve as the point of contact for hotel block requests or negotiations with hotels for special events and game weekends.
•Work in cooperation with Human Resources to schedule candidate interviews as needed.
•Oversee new hire onboarding process in cooperation the hiring supervisor.
•Assist with the execution and transfer of vehicles with coaches and car dealerships via our Courtesy Car Program.
•Oversee JPC conference room calendar and ensure accuracy.
•Update confidential contact information in the Advance database.
•Oversee and ensure John Purdue Club staff out-of-office dates are accurate.
•Serve as the department point of contact for ITaP, the telephone office and other Purdue departments.
•Assist with preparing the John Purdue Club staff meeting agenda and post-meeting minutes as needed.
•Assist with proofing documents and correspondence with donors prior to mailing.
•Assist with processing gifts in iModules and ensure funds are credited to the proper accounts and appropriate individuals.
Knowledge of industry standards and college athletic events preferred.
