The American Urogynecologic Society (AUGS) seeks a creative, flexible, and detail-oriented full-time senior coordinator, meetings. This is a new position for AUGS and is ideal for a candidate with three+ years of non-profit or association management experience. The ideal candidate is mission driven, self-motivated, collaborative, and capable of thriving in a fast-paced environment. Successful candidates will bring strong attention to detail skills and interpersonal skills.
Support logistical activities related to the annual meeting (visa invitation letters, signage order, committee meeting coordination, shipping, etc.)
Oversee and manage meeting logistics for smaller courses held throughout the year (F&B, AV, housing, hotel coordination, etc.)
Development and distribution of board travel memo for in-person meetings; logistical planning for in-person meetings (F&B, AV, housing, etc.)
Responsible for working with external vendor to setup and configuration registration for attendees, speakers and exhibitors. Implements and is responsible for the registration process for all AUGS meetings to include but not limited to pre-registration, onsite registration, cancellations, balance due invoicing, payment collections, and badge printing and stuffing.
Manage registration including build to on-site process for all AUGS educational courses, including the annual meeting; serve as the main point of contact with registration questions, and prepare weekly tracking reports
Work with the Education Department on VIP and speaker management including coordination of travel, housing and registration for all AUGS educational courses
Serve as on-site registration staff as needed
Coordinate and support planning and execution of exhibit management functions for the annual meeting from booth placement through on-site exhibit hall set up
Manage the invoicing, payment and financial tracking for all exhibit and sponsorships related to the annual meeting
Partner with various vendors to manage Exhibitor Service Kit and Lead Retrieval
Coordinate exhibitor registration
Provide consistent, accurate, and timely exhibitor communication
Bachelor’s degree required
CMP designation preferred
3-5 years’ experience planning small meetings
Able to thrive in a small staff, team environment
Ability to work and adhere to a deadline-oriented environment
Ability to communicate effectively with professional staff, vendors and members
Excellent oral and written skills
