The Membership Coordinator strives to use effective communications to engage new and existing Members to grow the membership of the society. This includes managing membership applications and materials, monitoring profiles in the Association Management System (AMS), managing the annual dues renewal and supporting other membership activities as noted below. ACCP is a small staff in a fast-paced environment. Strong communications, customer service and relationship-building skills are required. Must be able to take guidance and work closely with Staff to maintain consistency in record keeping and speak in “the voice” of the society. Attention to detail is a must!
Receive training and become proficient in the use of the AMS to perform required duties and support the needs of the membership.
Monitor daily the creation of new profiles in the AMS, contact new profiles to obtain clarification on the reason for their creation, clean up the data within the profiles based on ACCP standards and maintain a New Profile spreadsheet for the historical record and for the purpose of reporting to the Executive Director and leadership.
For all New Members, reinstating Members and upgrades of changes, follow up to obtain the required application materials and complete/maintain the New Member spreadsheet for the historical record and for the purpose of reporting to the Executive Director and leadership.
Prepare and implement dues renewals, including email and postal mail notifications, follow up by phone, etc and document payments within the spreadsheet used for the audit file, plus maintain the required audit documentation in the Shared Drive for the audit and historical record.
Work with the Membership Committee and Executive Director to develop new promotional membership plans and materials.
Support the Membership and Credentials Committees, as required, by coordinating meetings and conference calls and transcribing minutes for the historical record.
Attend Board meetings in February, May and September.
Seek new, efficient ways to support Staff and its efforts to support ACCP activities.
Assist in documenting organizational materials and updating Policies & Procedures, as required.
Promote good will by representing ACCP at the Annual Meeting and other public-facing or Member-facing events.
Other assigned duties, as required.
Undergraduate degree is desirable.
Minimum of three (3) years of experience in supporting the needs of a membership-based society, preferably including membership activities.
Experience with web-based iMIS AMS platform preferred, but at a minimum, solid experience in AMS management is necessary.
Strong skills in building and maintaining relationships.
Excellent written and verbal communications.
Strong organizational and record keeping skills.
Must have the ability to work effectively with others and assist others at critical points in the work flow.
Proficient in Microsoft Office Suite, including Word, Excel and PowerPoint.
Must be comfortable learning new software and systems as required.
A clean background check is required to be eligible for hire.
