The American Association of Pharmaceutical Scientists (AAPS) in Arlington, VA, a professional scientific society, is recruiting for a Membership Assistant. The Membership Assistant is AAPS’ primary contact for member relations and customer service. This position also supports related efforts of internal business units. Work is performed under general direction. No supervisory responsibilities.
Essential Duties and Responsibilities
Provide initial and follow up customer service to member inquiries;
Register members/customers for AAPS events, such as eCourses, webinars, and workshops;
Process changes to member information, addresses, and demographics within the database;
Support member recruitment and retention efforts;
Participate in the testing of new technologies (e.g. iMIS, Blue Sky, Experient, etc.);
Provide onsite customer service at AAPS events as needed;
Work closely with staff to ensure membership information is available at all AAPS events;
Serve as primary back up to reception desk;
Serve as primary support agent for data entry, including batches for dues payment, telephone renewals, correction batches, refunds, and meeting registration;
Send receipts and renewal invoices to members/customers as requested;
Provide follow-up for credit card declines and inactive credit cards;
Research payments received without backup as verification to which membership the funds should be applied;
Provide timely and accurate processing of membership batches;
Process returned mail and all list opt-out requests;
Handle AAPS Foundation donations and general foundation inquiries;
Retrieve iMIS data reports, as needed;
Data Entry and Quality
In coordination with the Technology Director and the Senior Manager, Membership, support data quality initiatives to improve AAPS data;
Maintain an iMIS procedure manual for the department;
Maintain an organization-wide data standards document; and
Audit member records, as needed, to ensure eligibility requirements are met, and resolve ineligibility as appropriate.

Education and/or Experience
One to three years of customer service experience.
Intermediate level proficiency using iMIS association management software a plus.
Experience in MS Office Professional Suite.
Majority of work is performed at a desk using a computer and telephone. Lifting of light boxes may be required while organizing and distributing work in the office or mailing materials to members. Evening and weekend work may be necessary, particularly during the height of PharmSci 360. Ability to remain professional in stressful and crisis situations is critical.
Work is performed in a fast-paced, high volume, detail oriented environment. The work environment is a moderately open one, with a combination of cubicles and offices. The noise level will vary from quiet to loud. May be required to travel minimally, to both local and national conferences.
