Job Description: The Coordinator of Athletics Administration provides administrative support for the Executive Deputy Athletic Directors, Senior Associate Athletic Directors and Chief of Staff. The incumbent is exposed daily to information of a highly confidential nature and must demonstrate a high degree of professionalism. In conjunction, the incumbent must be aware of NCAA, SEC, state and university rules and regulations.

60% Maintains the calendar, schedules appointments and meetings for the Executive Deputy Athletic Directors and Senior Associate Athletic Directors with administrators, coaches, student-athletes, and members of the business community; Provides administrative assistance to the Executive Deputy Athletic Directors and Senior Associate Athletic Directors by independently handling a wide variety of situations and relieving them of day-to-day administrative details; Works closely with them on a number of highly confidential administrative matters; Composes and types general correspondence based on verbal instruction from the Executive Deputy Athletics Directors, Senior Associate Athletic Directors and Chief of Staff; Organizes background materials for meetings on a wide variety of complex subjects (i.e., Title IX, ticket policies, revenue generation, student-athlete wellness, etc.); Serves as liaison for Executive Deputy Athletic Directors with university personnel as well as personnel of the SEC, NCAA, other universities, numerous local and national level media. Knowledge of all facets of the University, SEC and NCAA is essential in dealing with problems and complaints. Must also have knowledge of compliance issues; Assists with student-athlete services including scheduling, communication, and coordination with representatives from each team; Assists with securing travel advances for Executive Deputy Athletic Directors, Senior Associate Athletic Directors and Chief of Staff for the purpose of administrative travel, including preparing and typing all corresponding travel expense vouchers, creating itineraries, and making all travel arrangements.
20% Assists the Chief of Staff with staff recognition and award nominations for internal and external awards (excluding coaching awards); helps coordinate and execute special events for Athletics staff such as holiday parties, employee recognition, and other related functions. Responsible for community outreach for Athletics staff by fostering relationships with community organizations alongside Tiger Life, coordinating and executing opportunities for staff engagement in the community.
10% Tracks participation of Athletics employees in required educational initiatives and trainings, including diversity, equity and inclusion and Title IX programming.
5% Manages external correspondence with the approval of the Chief of Staff; Manages Athletics requests from the public, responding appropriately according to department policies and procedures.
5% Coordinates meeting of the Athletic Council. Prepares agenda, organizes materials to ensure deadlines are met with regard to council approval on competition dates, travel, number of class days missed, etc. and record minutes to be approved at the next meeting. Must be familiar with By-Laws of the Athletic Council. Other duties as assigned.
Bachelor's degree with one year of relevant experience; Strong organizational and interpersonal skills; Excellent written and verbal communication; Knowledge of Windows based computer programs.
Special or Physical Qualifications:
Ability and willingness to work extended days and some weekends.
Proficient in computer application knowledge, effective communication, attention to detail, demonstrates initiative, positive attitude and professional demeanor.
