The Atlantic Coast Conference is seeking a qualified candidate with at least four years of working experience. Work experience in sports is strongly preferred. The successful candidate will be solution-oriented with excellent written and verbal communication skills and will have demonstrated initiative and collaboration with various constituents. Candidates must be proficient with current technology, creative in providing solutions to complex and sensitive issues and be able to work independently and in a team setting to efficiently meet established goals and deadlines. Reporting directly to the Commissioner, the Special Assistant will be responsible for the following: RESPONSIBILITIES INCLUDE, BUT ARE NOT LIMITED TO: 1. Schedules and maintains weekly and yearly calendar for the Commissioner. Coordinates Commissioner’s schedule with office, community, and membership events. Prioritizes all meeting requests based on relative importance. Discusses with and informs the Commissioner of all calendar events on a daily basis, printing updated weekly and daily schedules, as needed. 2. Drafts routine correspondence, memorandums, and reports and expedites urgent and confidential correspondence to appropriate personnel. Must respond to all inquiries and correspondence via electronic and regular mail. Critiques, screens and prioritizes the Commissioner’s daily mail. Creates and maintains tools for accurate and timely correspondence. 3. On occasion, represents the Commissioner and serves as a spokesperson, liaison and primary point of contact for internal and external constituencies. Builds and sustains productive working relationships with Conference Office staff and the membership, in particular offices of the Presidents and Chancellors and Athletics Directors. Acts on behalf of the Commissioner to assist and facilitate prompt communication with other members of the team in response to emergent or sensitive issues. 4. Acts with discretion and maintains a high level of confidentiality in response to sensitive matters. 5. Responsible for communicating necessary information to the appropriate individuals in a timely manner. Participates in key constituent meetings as needed to ensure appropriate and responsive follow-up and accountability and facilitates resolution of matters requiring the attention of the Commissioner. 6. Develops and maintains procedures and protocol for the Commissioner’s Office to achieve a high level of professionalism in all office activities. Follow up on open matters to implement decisions as appropriate or resolve issues and assure that appropriate communication occurs. 7. Plans and coordinates office events. Responsibilities will include but are not limited to coordinating schedules of meetings, catering, rental, pre- and post- event responsibilities to ensure all events run seamlessly. 8. Plans and coordinates ACC Board of Directors and Advisory Committee regular meetings. Responsibilities will include but are not limited to communication with Board member’s assistants, meals/catering and post-meeting responsibilities. 9. Complete expense reporting for the Commissioner. 10. Other special projects as assigned or required.
1. Bachelor's degree or the equivalent combination of education, training and experience from which comparable knowledge and skills can be acquired. 2. Minimum of 4 years professional work experience. Previous experience in college athletics strongly preferred. 3. Experience managing a complex calendar. Availability in evenings and on weekends will be expected. 4. Experience managing the day-to-day aspects of an executive office. 5. Demonstrated advanced proficiency with the Microsoft Office Suite of products, particularly Outlook. Additionally, experience with Apple/Mac products (e.g., iPad, iPhone) preferred. 6. Demonstrated excellent oral and written communication skills. 7. Ability to demonstrate a calm, courteous and professional demeanor under pressure when working with a variety of situations and/or people. 8. Proven ability to take initiative and make sound decisions without direction. 9. Ability to handle multiple tasks and assignments simultaneously. 10. High attention to detail and organizational skills.
