Position Summary: This position reports directly to the Athletic Director and is an integral part of the overall Mitchell College Athletics Department’s day to day operations. The incumbent is responsible for assisting the department with the execution of assigned departmental goals, directing and overseeing various areas of academic success, supervision of part-time coaches, recruiting and scheduling. The individual will handle/coordinate all administrative responsibilities for the department. This position provides administrative and management function and/or support to the Athletic Director. In addition, the AAD will serve as the compliance coordinator and the department scheduling coordinator. The AAD will also be responsible for representing Mitchell College as a Senior Administrator at NCAA conferences and related meetings
Responsibilities and Duties:
•Serve as compliance coordinator: Department: NCAA 101 compliance meetings, Rules Test, Transfer Tracers, Academic verification
•File/assist NCAA and DOE reports: Sports Sponsorship and Demographics, EADA, NCAA Financial Aid, NCAA Finance Report, Graduation Report, ISSG
•Serve as Title IX Deputy and develop and assist with departmental goals and strategic initiatives
•Organize game schedules, develop and return game day contracts, schedule building supervision and game management, synchronize with assignors
•Schedule team travel for all 12 sports (charter bus and van rentals) and record recruiting car rentals
•Collaborate to organize athletic events including: Senior-Athlete Dinner, Chi Alpha Sigma, Mariner Madness, Special Olympics Basketball Jamboree
•Direct and oversee areas of academic success by monitoring academic progress and attendance for all student-athletes
•Annually update student-athlete handbook
•Coordinate student-athlete end-of-season evaluations and disseminate information to coaches at yearend review
•Arranges all department transportation quotes, purchase orders and arrangements
•Represents department on various college committees
•Ensures that all clothing and gear ordered meets College/Department logo
•Assist AD with all HR functions as it relates to all athletic staff including onboarding, new hire orientation and volunteer staff background checks
•Assist with marketing, branding and fundraising operations
•Performs other duties as assigned by the Director of Athletics
Required Education and Experience:
Bachelor’s degree in sport management, business or related field.
1- 3 years’ experience as an assistant
This position requires demonstrated communication skills (both verbal and non-verbal) as it is the point of contact and liaison between the Athletic Director and/or senior leadership and college department heads, campus contacts and other external constituents.
Principles and procedures of record keeping;
Current and valid driver’s license.
Current First Aid, CPR & AED certification.
Key Skills / Knowledge:
Standard computer skills (like Word, Excel, Powerpoint, Access, etc…)
Creative software knowledge
