Position Focus: Yale Athletics is seeking a highly motivated and dedicated Assistant Director, Event Management to whose primary responsibilities will include oversight and directing game-day varsity events and overseeing all aspects of operational needs for given events. This includes scheduling and managing event staff, officials, security and law enforcement; providing customer service and crowd control to spectators; and, working with home and visiting coaches and constituents. The Assistant Director, Event Management must adhere to all NCAA and Ivy League rules and regulations.
Job Specific Duties:
Establishes best practices for event operations and ensures consistency in the program in compliance with University and NCAA regulations. Assists in the development of short and long-range goals, strategic initiatives, policies, operating procedures, and assessments relating to events operations.
Serves as the single point of contact and onsite manager of game operations for assigned Varsity sports at Yale University.
Responsible for knowledge of NCAA rules and regulations as it pertains to the facilitation of home events and competitions; game management policies and procedures for all sports; detailed knowledge of rules, customs and traditions for intercollegiate athletic competitions.
Ensures safety of student-athletes, staff, general student population, and patrons through proactive measures.
Manages and directs event staff, officials, security, and law enforcement and makes programmatic adjustments, or modifications based on real time events, aligning with missions, goals, and objectives of Yale Athletics.
Oversees preparations for events based on ticketing trends, historical data, weather forecasts, and other factors that determine size and scope of events and NCAA rules and regulations.
Develops the projected number of attendees of the game and determines the appropriate number of external vendors staffing.
Works closely with home and visiting coaches and staff and constituents to develop strong working relationships with Yale Athletics ticketing, community engagement, strategic communications, and facilities to run high level athletic events.
Works closely with leadership, internal and external colleagues, and community residents to further develop and implement strategic plans.
Assists with administering and developing operational budgets for the unit.
Managing databases for officials, event and student staff, credentials and parking.
Required Education and Experience Bachelor's Degree in a related field and two years of related experience or an equivalent combination of education and experience.
Required Skill/Ability 1: Demonstrated experience in event management in a collegiate athletics environment.
Required Skill/Ability 2: Demonstrated ability to balance multiple tasks with evolving priority levels and adjust focus as needed. Excellent organizational and communication skills.
Required Skill/Ability 3: Ability to craft clear and concise written and verbal communications for a variety of stakeholders.
Required Skill/Ability 4: Demonstrated ability to identify and resolve problems efficiently, effectively, and independently.
Required Skill/Ability 5: Ability to lead and manage a combination of temporary/casual staff and students.
Preferred Education, Experience and Skills: Supervisory or leadership experience recommended.
