The Athletic' Department has an exciting opportunity for a temporary Facilities, Events, & Operations Associate or Intern to work in the Coral Gables Campus.
A maximum 1-year appointment position for the Department of Athletics.
The Facilities, Events, & Operations Associate or Intern will be reporting to the Associate Athletic Director (AD) for Facilities and Operations. The coordinator of Facilities and Operations will assist the Facilities and Game Operations staff with the coordination of assigned home athletic contests, internal facility needs, and the coordination scheduling, special events, game management, and vendor interactions, security and custodial auditing. Flexible nights and weekends/ holidays as needed to facilitate the appropriate support and coverage.
Duties and Responsibilities:
Communicate with appropriate staff and coaches to ensure fair and reasonable access to facilities for practices, games, and camps.
Provide information to outside users (competitors, renters, and other business entities).
Inform and provide input regarding protocols around facility use, safety and emergency procedures, monitor, and advise on efficiencies and innovation where observed internally.
Perform event coverage at assigned external or athletic events.
Perform event setup and breakdown as assigned.
Perform weekly facility walk throughs and assist with the execution of work orders.
Work closely with outside vendors as needed around all athletic facilities.
Responsible for security and accessibility.
Assist the with the preparation, development, day-to-day monitoring, and communication of the facilities annual operating budget.
Daily custodial audits of the [ABM custodial] staff cleaning standard and schedule.
Ability to lead multiple vendors, staff and partners to provide clear planning and communication to all services providers as appropriate for each event and or planning phases of the athletic calendar.
Act as a liaison with police, risk management, equipment operations and the external arm, other on campus agencies.
Hours will be a minimum of 40 hours per week with flexibility on holidays, nights, and weekends as needed.
Perform other duties as assigned by the Associate AD for Facilities & Operations.
One year of experience as an administrative specialist or executive support specialist which included athletics administrative support for a project, program, or operation.
Administrative support includes those duties beyond security/maintenance/clerical/secretarial such as: interpretation of laws, rules, and regulations; administrative data collection and analysis; and evaluation of projects, processes, and operations; OR an equivalent combination of training and experience.
One year of postsecondary education may be substituted for up to one year of the professional experience.
Student-athlete or Graduate assistant experience can count or qualify.
