Come Join UCI’s Bren Events Center Team! The Bren Events Center serves as the home competition and practice facility for indoor Intercollegiate Athletics activity, as well as being the campus’ multipurpose rental event facility. It is a 65,000 assignable (90,000 gross) square-foot multi-purpose facility servicing the University and all of Southern California. It features a 22,000-square-foot (2,000 m2) arena which hosts UCI Anteater Basketball, volleyball and serves as a general assembly space for special events. Additional conference and meeting spaces are available to support arena events and to host small meetings. It serves as the home to UC Irvine’s Athletic Programs to include Men's Basketball, Women's Basketball, and Men's Volleyball. It is also used for concerts, trade fairs, conventions, Broadway shows and graduation ceremonies.
We Are Looking For:
An Events Manager to be responsible for the facility event services at the Bren Events Center and occasionally for the Crawford Athletics Complex. Will directly handle coordination duties such as intake meetings and site visits, prepare event estimates of expenses, coordinate contract staffing, coordinate rentals, prepare event manifests, and supervision of overall event activity, while ensuring code compliance and adherence to university, local and fire safety policies. This position will also serve as primary Game Manager for UC Irvine Baseball and occasionally act as Game Manager for Basketball, Volleyball, and/or Soccer. The Game Manager responsibilities may include, but not limited to: game operations, event staffing, event security, communications with officials & referees, customer services, university policy compliance, code compliance, and fan conduct. Position will provide overall supervision for the Usher and Guests Services unit and will hire, train, schedule and supervise student assistants for both of these units. Will create, implement and manage a comprehensive training program for Usher staff responsibilities that may include but are not limited to: client services, operations policies on assisting patrons and guests, crowd control and crowd management, and use of ticket scanners. Will create, implement and manage a comprehensive training program for Guest Services staff responsibilities that may include, but are not limited to: administrative office support, monitor front desk activity, greet clients, visitors, and guests, respond to and/or redirect customer service related inquiries, receive and direct phone call inquiries, and event support.
In addition, will be responsible for assisting with facility evacuation procedures and may also be assigned to be a part of the campus emergency management zone crew. Will be required to work a flexible schedule of hours including evenings, weekends, and holidays to manage all scheduled event activity.
What You Will Bring to This Position:
Bachelor's degree in related area and/or equivalent experience/training
Thorough knowledge and understanding of concepts, principles and practices of event planning and public relations, including event design, organization and production
Knowledge of event coordination including, but not limited to: contracts, scheduling software, diagram software, contracting staffing resources and rental equipment vendors
Knowledge of crowd management, crowd safety protocols, security and emergency procedures related to small, medium and large scale gatherings
Demonstrated organizational and project management skills to work successfully with clients to produce high quality events that meet client needs and appropriately represent the campus for fundraising events
Skill in effectively meeting budget and time constraints
Organizational skills and attention to detail
Written and interpersonal communication skills
Ability to give clear directives and use independent, rational judgment to make optimal decisions
Proven ability to work on several tasks simultaneously
Ability to complete large volume of diverse tasks efficiently, meeting established deadlines
Ability to effectively work with invited guests, donors, government officials and university VIPs
Knowledge of University policies and procedures relating to the use of University facilities, event management and presentation
Minimum 2 years’ experience at a University or Athletic department setting
Solid knowledge of institutional products and services
Knowledge of University, Conference, and NCAA policies
Knowledge of the campus and/or medical center including its achievements, mission, vision, goals, objectives, and infrastructure
