Our location in Alameda currently has an opportunity for a Marketing Events Planner.
WHAT YOU'LL DO
Planning meeting strict deadlines and budget demands
Liaise with senior management and internal stakeholders to develop the theme and content for events.
Build relationships with vendors, venues, and other industry contacts to craft and implement creative and logistical aspects of all events
Stay current, and often ahead of the curve, on event planning, design, and production trends, proactively identifying and solving operational challenges
Comply with legal, insurance, health, brand, corporate and safety regulations at all times
Daily & Monthly Responsibilities
Coordinate with internal team, vendors, and other stakeholders to ensure clear alignment throughout the planning process
Leads pre-event and post-event meetings for internal team, presenters and with senior management.
Own the overall event budget tracking
Research resources, make site visits and lead pre-event meetings when necessary to help staff make decisions about event design
Plan and facilitate logistics for all events, including contract negotiations, guest lists, venue preparation, presentation materials, security, catering, entertainment, transportation, equipment, decor, and marketing materials
Oversee event experiences from conception through post-event, managing on-site preparations, production, and event breakdown, ensuring consistent, high-level service throughout all phases
Provide planning updates to the Brand team and escalate risks and conflicts
Troubleshoot and handle any issues that arise related to the event
Plan for potential scenarios that could impact the event and manage risk with potential back up scenarios
EDUCATION AND EXPERIENCE YOU'LL BRING
4 years of experience
Bachelor's degree in event management or a related discipline
Proven success as an event planner or coordinator
Strong presentation skills and comfortable presenting to senior management
Strong interpersonal and communication skills
Experience in maintaining and building enriching business relationships
Excellent organizational skills, including multitasking, time management, and meticulous attention to detail
Ability to handle pressure and make quick decisions
Experience in marketing and/or public relations
Proficient with the Event Management System and Cvent registration tool used to manage registration and event logistics
Flexibility to travel both domestically as needed
