Carnegie Mellon University invites applications for a Coordinator of Events and Facilities with the Department of Athletics. Primary responsibilities for this position include: game and event management, facility management, marketing and fan engagement, and other special projects such as department fundraising and select alumni engagement events. This is a newly created, fixed-term position, from July 1, 2022 – June 30, 2024. This position is partially funded through the NCAA Ethnic Minorities and Women’s Internship Grant Program and as such will include opportunities for the successful candidate to interact with and benefit from programs and activities sponsored by the NCAA Office of Inclusion. Annual salary is $36,000 plus benefits. The candidate must be available to work nights and weekends.
The University seeks an individual with proven experience within the field of intercollegiate athletics to manage events at the Division III level, and provide oversight for athletics department facilities. The successful candidate will coordinate all aspects of intercollegiate events, including postseason events, and will develop protocols for marketing and fan engagement. Carnegie Mellon is in the midst of construction of a new Health, Wellness, Athletics Center, and this role will play a key role in the completion of the new facility. Core responsibilities will include:
Game/Event Management - Assist in planning, organizing, and implementing successful Game Day events, to include but not limited to:
Serve as primary liaison and gameday contact for assigned sports, ensuring successful execution of game operations for varsity contests. Assist with additional event operations as assigned.
Event setup and breakdown
Supervision of post-game events and activities
Assist with hiring/training/supervision of staff and student workers
Assist with special event coverage and coordination (e.g. Student-Athlete Awards Celebration, Welcome Back Kick off Cookout)
Plans and implements special projects within the department as assigned (e.g. NCAA championships, University events)
Contribute to pre-planning and post-debrief sessions to continuously improve our department
- Assist Associate Director of Athletics and ensure athletics facilities are maintained to university standards - Develop, implement and manage a preventative maintenance program for assigned facilities - Serve as liaison to campus facilities and custodial staff in day-to-day operations of general maintenance needs - Identify facility needs and develop plans and projects to address those needs
Participate in facility development opportunities, including ongoing construction project of new athletics center, due in Fall 2024
- Create Game Day promotional strategy to increase campus spectator participation in Varsity Athletics - Create promotional calendar for events throughout the year
Assist with the creation of a budget necessary for ordering promotional items
Assist with oversight of all in-game promotions and Game Day events
Provide a high-quality and innovative game experience for the fans at athletic contests
Prepare Game Day promotional products for distribution
Act as liaison for special groups in attendance on Game Day
Assist with the production of marketing to advertise the games and promotions
Develop and maintain positive relationships with parents, alumni, and the community
Assist with the event planning, coverage, coordination, and evaluation of campus recreational initiatives, including but not limited to, the areas of intramurals, physical education, club sports and other health and wellness related departmental strategies.
Assist with planning and implementation of the department fundraising and select alumni engagement events
Other duties as assigned

Bachelor’s degree required
1-3 years of relevant work experience required
Experience with intercollegiate athletics event management is a plus
Or a combination of education and relevant experience from which comparable knowledge
