The Assistant Director of Facilities- is responsible for planning, organizing, coordinating, and executing assigned activities to maintain all OSU Athletics facilities. The Assistant Director assigns and supervises work of students and classified staff, while also participating in maintenance and repair activities to meet the needs of users and events occurring in Athletic Department facilities. This position will manage assigned contracts and outside contractors that perform work in athletic facilities. Will assist the Director of Facilities in administrative duties as it relates to planning, budgeting, and directing operational activities for all Athletic Department Facilities.
Must adhere to all OUS/OSU policies and procedures, as well as Athletic Department and PAC-12 conference rules and regulations/polices.
Decision Making Guidelines:
This position will make decisions on behalf of the Director of Facilities in the absence of the Director as required. This will include oversight of the Athletic Facilities maintenance plan, scheduling of work and staff (classified and student).
This position will make budgetary recommendations and decisions as it relates to the athletics grounds. This will include working with vendors and contractors to decide on the appropriate scope, securing bids for work and managing projects in athletic facilities. This position will also be responsible for determine, requesting and managing allocated budgeted dollars for contracts and/vendors that are assigned to them by the Director of Facilities.
This This position requires a clear and unambiguous commitment to compliance of all National Collegiate Athletic Association (NCAA) regulations for Division I (FBS) universities.
Position Duties: 50% FACILITY READINESS: MAINTENANCE PLANNING, COORDINATION & EXECUTION Manages, coordinates, and executes activities designated to them by the Director of Facilities to maintain all Athletic Facilities. This includes but is not limited maintenance activities in/on: general buildings, athletic fields, athletic courts, etc. This will include monitoring and evaluating the performance of contracted vendors such as maintenance and outside contractors to ensure minimum disruption of facility operations. Initiates corrective measure, where required, to ensure a high standard of facility readiness and cleanliness.
20% RECORDS MANAGEMENT / POLICIES & PROCEDURES Maintains appropriate records that are relevant to maintenance functions such as: equipment inventory and replacement schedules, preventive maintenance schedules, health and safety inspections, and accident reports. Develops procedure manual for routine maintenance work, hazardous waste, MSDS information and annual/new events activities occurring in department facilities. Reviews and/or recommends proposed changes in department policies and procedures impacting maintenance and operations of the facilities. Participates in post-event evaluations and provides a written report following an event when necessary.
20% SUPERVISION / LEADERSHIP Supervises Athletic Department workers (Classified and student) in planning daily and weekly work procedures. Plans, assigns, and participates in and supervises work of university employees or contracted vendors engaged in the maintenance, repair, and general upkeep to ensure timeliness and completion of tasks while maintaining attractive, functional, and safe fields and ground areas. Evaluates regular workflow and appropriately disciplines and rewards employees based on clearly communicated performance standards. Responds to grievances and provides leadership and training for assigned employees. Conducts performance evaluations in accordance with university policies. Relieves co-workers and subordinates for vacation or during unplanned absences. Interviews prospective staff and establishes, disseminates, and monitors work/safety standards and takes appropriate disciplinary action when necessary.
5% BUDGET Assists in budget development. Monitors time sheets and keeps cost records of work performed. Makes cost estimates. Prepares progress reports. Provides recommendations for capital budget projects and strategic planning.
5% STAFF DEVELOPMENT Attends regularly scheduled meetings to report on daily functions and project progress to identify and discuss problems and to resolve any staff schedule or work problems. Initiates and participates in developing work-related workshops and service training sessions for staff.
Minimum qualifications:
Undergraduate Degree from an accredited university or college

This position is designated as a critical or security-sensitive position; therefore, the incumbent must successfully complete a Criminal History Check and be determined to be position qualified as per OSU Standard 576-055-0000 et seq. Incumbents are required to self-report convictions and those in Youth Programs may have additional Criminal History Checks every 24 months.
This position requires driving a University vehicle or a personal vehicle on behalf of the University; therefore, the incumbent must successfully complete a Motor Vehicle History Check, possess and maintain a current, valid driver’s license in their state of residence, be determined to be position qualified and self-report convictions as per University Policy 05-030.
Preferred qualifications:
Bachelor’s degree in Sports Administration, Sport Management or related field.
Two (2) years of experience within a Division I NCAA athletics department
Previous supervisory experience
Experience and ability to integrate contracts into overall maintenance and repair contracts
Effective communication skills, both written and spoken form.
Ability to work with staff and students from a variety of diverse backgrounds.
