Registrar is responsible for management of registration, assessment of fees, grading, degree audit, verification of graduation and production of diplomas, permanent storage and maintenance of student academic records, certification of eligibility of students applying for veteran's education benefits, and related enrollment functions. The Registrar compiles, edits, and publishes the University of Central Oklahoma Undergraduate Catalog and supervises development of the semester class schedules. The Registrar assists in the development of and exercises control over the budget for the Office of the Registrar. The Registrar works closely with faculty and administrators in developing and implementing changes to policies, procedures, and systems, monitors the approval process for curricular proposals and other changes that affect the University's catalog, class schedules, and databases, and implements those changes. The Registrar supports the enrollment management effort by providing essential data and management information including enrollment trends and course demand data.
The duties of this position include assuring the University's compliance with rules of the National Collegiate Athletics Association (NCAA) and various conference memberships. Thus, this position will ensure compliance with the University of Central Oklahoma transfer policies, all applicable NCAA rules and regulations as provided in the NCAA Division II Manual and with all rules and regulations of the athletic conferences affiliated with the University of Central Oklahoma. Ancillary To The Certification Process: Stay current with NCAA rules and regulations. In this capacity, the Assistant Registrar is responsible for monitoring the nine-credit hour requirement, progress towards degree, GPA requirements, full-time status, declaration of major, eligibility checklists, and preparing the overall eligibility rosters for all teams. Responsible for inputting all degree progress information into the Compliance Assistant system (CAi). Upon receiving sports rosters from the compliance office on the standard template for this purpose, the Assistant Registrar will work with all relevant parties to: - Academically certify all incoming student athletes, including verification of future and projected eligibility for prospective and transfer student-athletes. - Determine continuing academic eligibility of student-athletes. Monitor progress towards degree in accordance with NCAA, conference, and University of Central Oklahoma rules. Prepare reports for certification and compliance. - Report inaccuracies, changes, and concerns of any student-athlete's eligibility to the Athletic Department. - Evaluate each student athlete's progress toward a degree including all credit hour and grade point average requirements as specified in the NCAA Division II Bylaws. - The completed template will be authorized and submitted to the office of the Faculty Athletics Representative (FAR) for their review and approval. The template will be then submitted to athletics for head coach review and final approval. The compliance office will collect the authorized template and process it to the conference office and all parties involved with the production of the form. The Assistant Registrar will maintain data entry in the Compliance Assistant Software system (CAi) to reflect coursework attempted and earned as well as all grade point average information on each student athlete within the CAi system. Review NCAA Regulations and academic degree program changes and policy changes that will affect student-athlete eligibility. Maintain accurate and current eligibility files for each student athlete. Update shared eligibility worksheets and Compliance Assistant Software (CAi) with the most current and predicted information on a monthly basis. Attend annual NCAA Regional Rules seminars. Serve as liaison between the Office of the Registrar and the Athletic Department on all issues pertaining to the eligibility of student-athletes. Meet with Athletics, academic, and compliance staff on a regular basis to discuss emerging issues. Attend regular Athletic Department meetings as a representative of the registrar. Sit on Faculty/Staff Committees as determined by the Provost and Vice-President for Academic Affairs. Prepare and submit Academic Progress Rate (APR) and Graduation Success Rate (GSR) data, as required by the NCAA. This shall include working with athletics compliance staff on submission of any APR adjustments or waivers. Position will also be charged with tracking and projecting future APR and GSR rates throughout the year. Advise all incoming student-athletes regarding general education requirements, appropriate class selection, academic policies and procedures, and campus resources. Guide student-athletes through the various pathways to declare a major when undeclared. Help guide incoming student-athletes define and develop realistic educational plans to include progress toward degree completion while utilizing Degree Works software for audits. Facilitates the transition from the initial advising process to the student athlete's program adviser. Performs other related duties as assigned.
