Position Summary

The Assistant Director of Development and Alumni Relations is responsible for assisting in the management of Athletics alumni relations, events, communications, and programming.
Responsibilities
Assist in managing Athletics alumni relations, events, communications, and programming - Create events and experiences meaningful to Columbia Athletics alumni and donors. Maintain organizational systems, provide and adhere to clear directives and planning timelines, provide clear expectations and means of communication. Collaborate with development, athletics, and alumni relations partners. Provide day-to-day management, thereby executing and overseeing all alumni relations and athletics programming, attend weekly 1:1, attend monthly Events/Communications meeting, attend weekly FB ops/MBB/WBB ops meetings, attend alumni directors meetings.
Coordinating, organizing, and implementing Athletics Special Events, including the Athletics Hall of Fame; select varsity sports program special events, the Men’s and Women’s Basketball alumni(ae) weekends, the Men’s Basketball Banquet, the Rowing Banquet, the Director’s Box for home football games, and other events as determined by the Director, Intercollegiate Athletics and Physical Education.
Produce Athletics Special Events in line with the standards of the Department and the Director
Work in a timely and organized fashion
Provide and adhere to clear directives and planning timelines
Create events and experiences meaningful to Columbia Athletics Alumni
Manage and reconcile Athletics Special Events’ budgets; make sure events don’t go over budget, pay invoices in a timely manner, and develop working relationships with our internal finance departments
Managing all internal event components, including coordination with Gift Systems, tracking of premiums and creation of premium codes, tracking and processing of sponsorship and ticket monies, RSVP lists, financial reporting, and budget reconciliation.
Submit checks in a timely fashion to Gift Systems and the Finance Department
Keep thorough and organized financial records
Solicit sponsorships from alumni
Run financial reports as necessary
Serve as unit’s Columbia Alumni Directors Representative (CAD) - Attend bi-monthly planning committee meeting.
Joins Athletics Development Leadership Team with direct access and input on strategy and implementation.
Build Relationships with internal and external constituents.
Manage a small portfolio of young alumni for qualification and solicitation.
Assist the Assistant Director of the Athletics Annual fund in sending out solicitations that originate from the Athletics Development team throughout the year. AFP created emails as well.
Special ad hoc projects, strategic initiatives as assigned - Work directly with coaches and other staff in Athletics on ad hoc projects including, solicitation letters, email campaigns etc.
Manages a portfolio of current parents for solicitation and stewardship.
Minimum Qualifications
Bachelors Degree and/or equivalent related experience required.
0-2 years of related experience.
Excellent verbal and written communication, organization, management, leadership, and professional skills.
A demonstrated ability to take initiative, problem solve and meet deadlines.
Ability to collaborate effectively as a member of a goal-oriented team.
Strong proficiency in Microsoft Office required.
Weekend and evening work is required.
Preferred Qualifications
Prior knowledge and experience with the Advance database application preferred.
Understanding of the mission and purpose of institutions of higher education is strongly preferred.
