General Schedule: Tuesday-Friday 1:30pm-9:30pm and Saturday 7am-3pm during the academic year, schedule subject to change based on facility and event needs, and during the summer.

Provide for the efficient operation of the DAPER facilities during evening and weekend hours in support of events, including scheduling of student and support staff to work on second shift and weekends.

Responsible for details related to both internal and external user groups, events hosted by DAPER facilities which include planning of events, coordinating event setups, breakdowns and administrative duties related to events and rentals. Position must coordinate event schedules utilizing scheduling software, maintain relationships with current rental groups, and develop new event revenue streams when possible.

Train and supervise appropriate event staff such as MIT student employees, gameday interns, and part-time temp staff. Provide staff with professional development and evaluations as appropriate.

Work in conjunction with the Assistant Manager of Evening and Weekend Operations to address day-to-day needs including setup, repair, maintenance and custodial support. Also work with the team to monitor and identify repair and replacement items within DAPER facilities.

Establish, maintain and improve customer service in assigned areas.
 

Provide coordination and response on safety and environmental issues facing the department during evening and weekend hours. 

Responsible for implementing MIT&#8217;s Emergency Action Plan as necessary during events and facility supervision. Maintains responsibility for ensuring facilities and staff under their supervision meet all applicable EHS requirements including but not limited to regulatory compliance, compliance with MIT policies, required reporting, completion of required training, program documentation, and other EHS Management System requirements. 

Complete all administrative and/or departmental paperwork necessary to enable the success of the evening and weekend programs and services offered in DAPER. Particular emphasis is placed on, but not limited to; the administrative responsibilities associated with DAPER intercollegiate events and rentals. Position is responsible for development and accountability for budgets, management reporting, coordination and planning, staffing, scheduling events in Mazevo, ticket operations at select events, parking coordination, etc.  Liaise with visiting teams and officials.

Supervises activities with support for a high level of service and manages student staffing for all DAPER events.

Serve on DAPER and other MIT committees and coordinate special projects as assigned. MINIMUM REQUIRED EDUCATION AND EXPERIENCE: 
 Bachelor&#8217;s degree in a related field required. Minimum 2 years relevant experience. Must have experience in or an in-depth understanding of athletics and recreation with direct experience functioning in support of events. Must have a valid driver&#8217;s license and current First Aid, CPR, and AED certification or be willing to obtain.

 Additional skills and experience in employee supervision and computer operations are required, must demonstrate and practice effective communication skills both written and verbal. The position of Assistant Director of Development for Athletics develops and maintains substantive relations with alumni, parents, and friends of Tufts University to raise the significant philanthropic resources necessary to meet the Department of Athletics&#8217; annual giving, capital, and endowment needs. The position will be a part of University Advancement, which is responsible for developing relationships with prospective donors through face-to-face visits, donor meals, receptions, and other events, as well as by facilitating meetings with athletics leadership, deans and other members of the faculty and administrative staff. Direct mail, annual reports, publications, and other means of communication are employed to cultivate prospects, develop awareness of the University&#8217;s strengths, reputation, needs and priorities while setting the stage for annual and major gift solicitations.


What You&#39;ll Do

The Assistant Director of Development for Athletics will be responsible for leadership annual and major gift solicitation of alumni, parents, and friends in support of the Tufts&#39; athletics program. S/he is responsible for the identification, cultivation, solicitation, and stewardship of major gift- level prospective donors. S/he will manage a portfolio of 120 -150 individual major and special gift prospects. The successful candidate will develop and implement strategic plans aimed at maximizing each individual&#39;s philanthropic support by working with the Director of Development for Athletics, other colleagues in Advancement, the Director of Athletics, athletics coaches, academic leaders, and high-level volunteers. The Assistant Director of Development for Athletics will be responsible, along with other members of the team, for articulating and communicating the needs and priorities of the Department of Athletics and individual athletics programs within the context of the University&#39;s overall mission, goals and objectives. S/he will seek and arrange face-to-face meetings, work with volunteers and staff, telephone and/or visit prospects as well as identify and qualify prospects. The Assistant Director will collaborate, as appropriate, with colleagues in annual giving, gift planning, parents giving, alumni relations, and other departments to develop and implement comprehensive cultivation and solicitation strategies. The Assistant Director will be expected to materially contribute to the successful achievement of the annual goal by soliciting and securing leadership annual gifts of $10,000 or more, as well as endowment and capital gifts in the range of $100,000 to $1,000,000. The ability to work under pressure and within deadlines is all necessary and important to the successful execution of this position.
 
 
 Prospect Management and Solicitation
Manage leadership annual and major gift prospects with emphasis on endowed and capital gifts of $100,000 or more and leadership annual gifts of $10,000 or more.  Responsibilities include:
 o Securing in-person visits by phone, email, and other methods to gain an in-depth understanding of his/her prospect pool by asking relevant strategic questions and employing active listening skills;
 o Traveling to visit prospects and hosting prospects on campus;
 o Developing and implementing detailed, thoughtful prospect cultivation and solicitation strategies based on information learned through prospect visits;
 o Preparing written materials including gift proposals, briefing documents for key volunteers, thank you letters, and other routine correspondence;
 o Designing and implementing cultivation events for major gift and leadership annual fund prospects;
 o Presenting a minimum of 12 quality proposals to qualified prospects annually;
 o Identifying new major gift prospects;
 o Maintaining an active pool of 120-150 prospects;
 o Representing the University and Department of Athletics at regional and on-campus events;
 o Achieving a minimum number of prospect visits each year as determined in consultation with the Director of Development for Athletics;
 o Meeting all activity and fundraising goals as established by the Director of Development for Athletics; and
 o Executing detailed and timely summaries of all donor/prospect interactions, which clearly outline progress made toward solicitation and identify relevant next steps.
 o Work directly with volunteer and individual team &#8220;Friends of&#8221; groups to drive alumni engagement and increased donor support and participation.
 Collaboration with Director of Development for Athletics, Director of Athletics and coaches, University Advancement Major Gift Officers and Staff, Parents Giving Program, Office of Alumni Engagement, Tufts Annual Giving Team, Communications, among others:

 Donor Relations and Stewardship:
