This position provides administrative support to the Vice President of Intercollegiate Athletics, the executive leadership team, and 17 NCAA sports programs. It also serves as the first point of contact for students, parents, and other customers and patrons. Provide direct administrative support to the Vice President of Intercollegiate Athletics, executive leadership team, and department with general secretarial and clerical responsibilities. Manages the Vice President of Intercollegiate Athletics and executive leadership team’s calendar including scheduling weekly and monthly recurring meetings, in addition to securing any necessary meeting places as directed. Records meeting minutes of regular staff meeting or at the request of the Vice President of Intercollegiate Athletics/any executive leadership team members. Gather, review, prioritize, and prepare correspondence on behalf of the Vice President of Intercollegiate Athletics and executive leadership team, including but not limited to electronic correspondence, bulk mailing, letters, memos, invitations, etc. Serve as the first point of contact for all extern and internal inquiries relating to the University of Central Missouri Department of Intercollegiate Athletics and associated facilities by answering calls, screening guests, responding to inquiries and providing excellent customer service to ensure efficient operation of the department. Ensure effective office management including but limited to office supplies (inventory) filing and record keeping, office technology, printing and distribution service request and parking services requests and passes, etc. Assist the executive leadership team with research and data collection to assist with obtaining strategic objectives. Assist Associate Athletic Director for Business Operations with daily financial activities including but not limited to Chrome River, UCM Market, Expense Tracking, Invoicing, Receiving Payments etc. Complete game contracts-generate, facilitate and store UCM Athletic game contracts by coordinating with coaches, administration and UCM General Counsel. Perform other related job duties as assigned by the Vice President of Athletics, Associate Athletic Director of Business Operations or at the request of other members of the department ranging from executive leadership staff, head coaches, etc.
Associate’s degree in business or related field required.
Bachelor's degree in any field preferred.
Education may be substituted for experience or experience may be substituted for education are based on the following equivalencies : AA =2 years experience; BA/BS = 4 years experience; MA/MS = 6 years experience; PhD = 8 years experience
Two (2) years administrative assistant and/or executive secretary experience assisting a high-level administrator (e.g. president, vice president, dean, department chair, or director) required.
