Summary of Position
The Senior Athletics Business Coordinator is responsible for managing and coordinating the day-to-day logistical and business transactions of Allegheny College's 23-sport NCAA Division III Athletics Department, working with the appropriate campus departments. This highly visible role assists with the seamless execution of athletic events, manages team travel, and supports the administrative needs of the coaching staff and student-athletes while ensuring operational efficiency, resource optimization, and strict compliance with NCAA, conference, state, and institutional regulations.
Key Responsibilities
Financial & Budget Administration
Process invoices, purchase orders, and expense reports related to equipment, travel, and facility operations.
Oversee accounts payable, accounts receivable, reconciliations, and journal entries. Initiate expense reports within established limits and track budget activity to analyze variances.
Produce budget reports and monitor budget as needed.
Assist with annual audits, including EADA, NCAA, and institutional audits.
Manages day-to-day administrative operations within Oracle Fusion Cloud Applications (ERP and HCM), including procurement, expense processing (credit cards and invoices), and workflow approvals, ensuring accurate data entry and compliance with institutional policies.
Serves as a key liaison across departments on business processes and supports operations.
Logistics & Team Travel
Coordinate away-game travel arrangements for athletic teams, including booking chartered buses, and rental vehicles.
Ensure all travel complies with departmental budgets and institutional policies.
Work with campus partners regarding department needs for facilities, guest accommodations, and meals.
Troubleshoot and resolve logistical problems effectively under pressure.
Administrative & Event Operations
Serves as a key liaison across departments on business processes and supports operations.
Oversee records, filing systems, and the overall administrative functioning of the department.
Assist in planning and coordinating special events, conferences, and seminars.
Assist with promotional materials for athletic events and departmental initiatives.
Implement financial policies, training, and compliance processes delivered from Financial Services.
Coordinate memberships for the Wise Sport and Fitness Center.
Create, purchase and distribution of all awards for student athletes.
Coordinate with Associate Director of Facilities Support to manage and track binding contacts for varsity athletic contests.
Experience and Qualifications
Bachelor’s degree required; Master’s degree preferred. Sports Management, Business Administration, Finance, Accounting, or a related field
2-3 years of related professional experience required; 3-5 years preferred
Required Knowledge
Service-minded professional who genuinely enjoys supporting coaches and student-athletes.
Proficiency in financial software - Oracle and standard office applications (Microsoft Office, Google Workspace).
A working knowledge of the NCAA and Division III is beneficial.
Required Skills
Exceptional organizational, planning, and time-management skills with the ability to handle multiple priorities simultaneously.
Outstanding written and oral communication skills for interacting with coaches, athletes, officials, and the public.
Strong analytical skills for budget control, problem identification, and trend interpretation.

Compensation
Expected starting salary: $50,000.00 full time, exempt
