Admissions and Marketing Coordinator
Ventana School, a Reggio-inspired Preschool (2 yrs-5 yrs) and Elementary School (K-5) located on a beautiful campus in Silicon Valley, is hiring an Admissions and Marketing Coordinator. Our programs reflect our belief that children learn naturally through play, observation, and investigation. We value each child as an individual and a competent learner, full of ideas and eager to learn. The employee models the Ventana Values that guide the School. Ventana School (“VS”) is an outreach project of Christ Episcopal Church of Los Altos (“CCLA”), but is not a religious school.
We are seeking an Admissions and Marketing Coordinator who will dedicate approximately 70% of their time to admissions-related support and 30% to marketing, including managing social media and supporting the school’s design needs. This role reports to the Director of Enrollment Management.

Job responsibilities
Admissions
- Supports admissions events—including tours, open houses, and welcome events—by coordinating setup, arranging refreshments and snacks as needed, and managing name tags, registration, and attendance tracking.
- Managing the admissions calendar, ensuring all events are accurately scheduled, and participants are correctly assigned.
- Participates in weekly admissions team meetings and takes notes.
- Monitors and tracks application status in Ravenna, ensuring files are completed in a timely manner and following up to collect any missing materials before deadlines.
- Manage event registrations, including rescheduling or cancellations from prospective families, and handle all related communication with families regarding these changes.
- Organize and manage admissions swag orders, ensuring inventory is accurately tracked and maintained.
- Support the Director of Enrollment Management to manage the admissions budget, ensuring accuracy in both planning and expenditures.
- Analyze admissions data and support the Director of Enrollment Management in preparing the annual admissions report.
- Prepares welcome packages for new students and coordinates their distribution and mailing.
Marketing Coordinator
- Support Ventana Leadership to produce brand-aligned printed materials in a variety of formats.
- Proactively keep web presence updated (website, blog, social media, other platforms).
- Produce and/or select photos for social media and general communications.
- Manage Ventana's social media accounts; create on-brand posts, analyze impact, and assign a budget to boost engagement.
- Coordinate the production of the school yearbook.
General
- Provides coverage and administrative staff support, including the reception desk
- Additional projects/duties as assigned
Compensation & Benefits
- $28-34/ hour, non-exempt, full-time position
- Retirement program (employer-matching to a 403(b). We offer a 5% base and up to a 4% match for a total of 9% employer contribution.)

Education & Experience:
- Bachelor’s degree required
- Experience with Ravenna Veracross or other CRMs is highly preferred
- Experience in a not-for-profit environment and/or independent school is highly preferred
Experience with admissions, marketing, communications, or graphic design preferred
